Job Description

REPORTS TO:

Chairperson and Trust Board, Te Pokapū Tiaki Taiao O Te Tai Tokerau / Far North Environment Centre Trust.

PURPOSE OF POSITION

1. To organize and manage affairs of the Far North Environment Centre (FNEC) and Trust Board to ensure the smooth running of the EcoCentre, to help improve procedures and the day-to-day operation of the Centre, creating a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety.

2. To assess the FNEC’s staffing needs and meet these through the recruitment, initial training, placement and retention of contractors and volunteers.

3. To ensure that all contractors and volunteers have a clear idea of their role within the EcoCentre, understand the importance of that role, enjoy their time at the Centre, carry out their responsibilities with enthusiasm and feel valued members of the Far North Environment Centre team.

POSITION IN ORGANISATION

Contractor, responsible to Board of Trustees.

STATUS

Part Time Contractor, 15 hours per week, for 48 weeks.  Worked either 5 days of 3 hours, or 3 days of 4 hours and 1 of 3 hours, between the hours of 10am– 4pm based at the EcoCentre.

QUALIFICATIONS/EXPERIENCE

  1. Sound level of computer skills including Microsoft Office – Word, Excel, Outlook and Publisher

  2. Thorough knowledge of standard office systems and procedures

  3. Excellent organisational skills – ability to manage time efficiently, to multitask and to meet deadlines

  4. Friendly and helpful Customer Service skills

  5. Awareness of issues relating to sustainable, resilient lifestyles

  6. Familiarity with operations of a Charitable Trust

  7. Knowledge of Health and Safety in the workplace

RESPONSIBILITIES

1. MANAGEMENT OF ECOCENTRE AND OFFICE

  1. To ensure provision of an excellent customer service and an environment that is welcoming and helpful for all visitors and users of the Centre.

  2. To design and implement policies, standards and procedures, evaluate these regularly and make adjustments where necessary

  3. To work with the Management Team to recruit Contractors and assist them in their roles

  4. To monitor and evaluate all Centre activities and work with Funding and Finance Manager to write reports for funders and trustees.

  5. To liaise with groups which come under the umbrella of Centre, especially Kaitaia Timebank and Transition Towns Kaitaia.

  6. To ensure Health and Safety culture is established and operating on site.

  7. To ensure all operational manuals are in place, accessible and regularly reviewed and updated e.g. HR, Financial, H&S.

  8. To develop and lead a team to look after the Trading Table, stock and contact with Suppliers.

  9. To demonstrate a commitment to cultural awareness in all aspects of work and relationships with colleagues and public.

  10. To work with the Funding and Finance Manager to manage budgets and resources.

  11. To monitor all FNEC communications, projects and activities to ensure these fit with our vision, mission and action statements.

2. VOLUNTEER COORDINATOR

  1. To research, write and update volunteer policies and procedures as required.

  2. To liaise with Trust Board and other groups under our umbrella to understand EcoCentre functions and projects and the roles volunteers play.

  3. To manage volunteers and their working relationships with each other, Trust Board members, contractors and visitors to the Centre.

  4. To promote volunteering through recruitment and publicity strategies and campaigns, including maintaining regular contact with Volunteering Northland.

  5. To provide appropriate training, induction and support for volunteers, ensuring their skills, experience and strengths are matched to their position and to act as an authentic role model.

  6. To organise and facilitate a monthly volunteer get together to provide a forum to share concerns, experiences and skills and celebrate their contribution to the success of the Centre.

  7. To gather and collate feedback from volunteers on their roles and responsibilities and suggestions for improvements and new possibilities for the EcoCentre.
